Interview follow-up email templates and timing

Two editable messages for thanking an interviewer and checking an agreed hiring timeline.

By the ApplyHub editorial team · Reviewed October 20, 2026

A follow-up message should make it easy for the recipient to remember the conversation and understand what you need. Keep it short, specific and courteous. The timeline mentioned by the recruiter is more useful than a rigid rule copied from a template.

After the interview

Send a brief thank-you when you have something specific to refer to. Mention one discussion point and connect it to relevant experience. Avoid adding a large unsolicited assignment or asking for an immediate decision.

Subject: Thank you - [Role] interview

Hi [Name],
Thank you for discussing [role] with me. I enjoyed learning about [specific challenge]. My experience with [relevant example] would help me contribute to that work.
Please let me know if any further information would be useful.
Best,
[Name]

After the stated timeline passes

If the team gave a decision date, wait until that window has passed before asking for an update. If no timeline was discussed, allow a reasonable interval and send one concise note. Avoid contacting multiple team members with the same question.

Subject: Following up on [Role]

Hi [Name],
I am following up on our conversation about [role] on [date]. I remain interested in the opportunity. Is there an updated timeline for the next step?
Thank you,
[Name]

Track the next action

Record when you contacted the recruiter and choose a review date in the application tracker. Continue your search while waiting. A delayed response may reflect internal scheduling; it is not a reliable measure of your ability.

Keep communication professional

Reply in the existing email thread when practical. Confirm the time zone for any new meeting. If the recruiter wants a phone call, use the channel they provided rather than introducing a new service. Freelancers managing ongoing client calls can separately review our Kandrex work communication resource.
