Client call agenda template and follow-up notes

Use a focused client call agenda, decision log and follow-up template to keep freelance projects moving.

Start with the decision you need

Before scheduling a call, write one sentence describing its purpose. “Choose the homepage direction” is easier to prepare for than “discuss the website.” If a short message can resolve the issue, send the message and save the meeting time.

A 20-minute client call agenda

  1. Minutes 0–2: Confirm the goal and what needs to be decided.
  2. Minutes 2–7: Review progress and the relevant example or draft.
  3. Minutes 7–14: Discuss the open question and tradeoffs.
  4. Minutes 14–18: Agree on the decision and any scope or timing impact.
  5. Minutes 18–20: Read back actions, owners and due dates.

Send the agenda and material ahead of time. Invite the person who can approve the decision, and confirm the time zone in the invitation. If a new topic appears, record it for a separate discussion so the original decision still gets attention.

Copy this preparation note

Purpose: Choose [decision].
Please review: [document or draft link].
Options: [A] and [B].
My recommendation: [option and reason].
Decision needed by: [date, time and time zone].
Expected attendees: [names and roles].

Capture outcomes, not a transcript

Write the decision, its reason and the next action. Mark unresolved questions clearly. Ask before recording a call and agree on how a recording would be used; a short written recap may be enough.

Subject: [Project] call recap — [date]

Decision: [what we agreed].
Action: [task] — [owner] — [due date].
Open question: [question and who will resolve it].
Next check-in: [date or milestone].
Please reply if anything here needs correcting.

Choose a channel that fits the work

Check audio, connection quality and how the client will reach you before the first call. If ongoing client calling becomes a separate business need, use the Kandrex evaluation checklist to identify the requirements you should verify. A tool should support the agreed workflow; the agenda and recap still do the organizational work.
