Freelance client onboarding checklist: from agreement to kickoff
A practical kickoff checklist, client questionnaire and handover process for your first freelance project.
Agree on the work before opening the project
A useful onboarding process turns a promising conversation into a shared written plan. Start with the deliverable, the person who approves it and the date it is needed. A request such as “build a website” leaves too much unresolved. “Deliver a five-page website using approved copy, with one feedback round before launch” gives both sides something concrete to review.
- Write the deliverables and exclusions in plain language.
- Agree on milestones, payment timing and how changes will be quoted.
- Name one client contact who can consolidate feedback.
- Record the communication channel, working hours and time zone.
- List the files and access you need before the start date.
Send a short kickoff questionnaire
Project name: What should this project help you achieve? Who is the intended audience? What exactly must be delivered? Who approves the work? Which assets can you supply, and by when? Which deadlines are fixed? Where should we send updates? What would make this project successful?
Ask the client to answer in one shared document or email thread. Resolve contradictions before scheduling production. If the deadline depends on receiving brand assets, make that dependency explicit.
Request access safely
Ask for an invitation to the relevant workspace with the permissions needed for the task. Avoid collecting passwords in a questionnaire. Keep a list of accounts you were granted access to so the client can remove access when the project ends.
Set a predictable update routine
A weekly written update can cover completed work, the next milestone, outstanding decisions and any deadline impact. Use a call when a decision needs discussion, then send a written recap. For example: “The draft is ready. Please approve the homepage copy by Thursday so we can keep Monday's delivery date.”
Close the onboarding loop
Send a kickoff summary with the scope, dates, responsibilities and first action. Ask the client to correct any misunderstanding before you begin. Keep prospective work in your application tracker until it becomes an agreed project.
